• Scanning: preparing invoices, letters, cheques, BACS Remittances and statements for scanning in to the system using Tranmit and Kofax/Markview and managing the rejections process; dealing with various email inboxes in relation to processing Purchase Accounting invoices, using different versions of Oracle; liaising with the offshore Purchase Accounting team and DHL sites all over the UK. I was exceedingly involved in testing the newly implemented scanning system to ascertain all the aspects of the previous system were included in the replacement. I trained new starters in this role, who joined the team over the years.
• Cash & Banking: processing emergency payments, manual payment request (cheques and telegraphic transfers); refund requests, printed cheques, Petty Cash, liaising with HSBC and Deutsche Bank.
• Financial Reporting: lease/hire documentation processing (cooperation with external companies with tight deadlines required), setting up direct debits and standing orders for new agreements, liaising with the London Councils and the UK sites for penalty charge notices.
• Debt Recovery: dealing with DHL ex-employees' overpayment of wages, completing statement runs for Sales Accounting. This role allowed me to use my bilingual skills on many an occasion.
• Overall responsibilities: deputising to my Team Leader with a focus on reporting monthly statistics for all the areas of the team to the department manager, checking BACS runs for the Expenses team, updating desk top procedures. Additionally, carrying out duties of a Fire Warden.
