Global Office Manager
EC1 Partners Recruitment Agency.
Supporting the Director of the company, a team of 50 recruitment consultants across 3 different countries, UK, Asia and USA my job involves PA duties, HR and office management.
• Support the Director of the company with personal matters, and the team of 50 recruitment consultants with adhoc duties
• Extensive diary management
• Dealing with all company travel requirements between our UK and US office
• Meeting and greeting visitors to the company
• Organising quarterly incentive trips ranging from UK team days out to weekends away in Marbella, Morocco, Las Vegas and the Bahamas
• Organise, balance and submit expenses for the 2 directors
• Balance 3 company credit card statements matching to appropriate purchase orders and receipts
• Dealing with all marketing and social media accounts
• Manage the stationary order and associated budgets
• Deal with general office queries and liaise with suppliers
• Answer and deal with all phone call enquiries and filtering them accordingly
• Source and interview candidates to grow the EC1 team in the UK and US
• Update Personnel records, holidays and sickness
• Process and log quarterly reviews and appraisals
• Assist with the development and implementation of new company processes e.g. XX
• Arrange appropriate training for employees
• Prepare induction packs for new employees
• Produce new starter contracts including the appropriate benefits package
• Assist outsourced Accounts team to prepare payroll each month
• Assist clients with CV formatting
• Upload and manage adverts on three recruitment job boards
• Maintaining the Company Website and Social Media accounts
• Collate and produce figures and news for the weekly company meeting in power point format
• Produce and distribute client invoices to clients on behalf of the recruitment consultants
• Follow up client invoices with debtors against them
• Onsite point of call for general IT problems
